MAINTENANCE OFFICE ASSISTANT (January 26, 2022)
NATURE OF WORK:
This may be manual semiskilled work in assisting mainly in plant maintenance, but may be assigned tasks in other departments for related tasks. Works with curiosity and strives to live the WNYE values: Strong Team Member, Dedication, Integrity, Self-Motivated, Ambassador, Adaptable.
ESSENTIAL DUTIES AND RESPONSIBILITIES:(Other duties may be assigned.)
• Create purchase orders into our computerized maintenance software system Maintenance Connection and order and/or purchase parts from various vendors;
• Closing of purchase orders after all items received. Organize paperwork (Invoices, purchase orders, packing lists) for each order and deliver to Office Manager;
• Creating, editing, closing work orders into our computerized maintenance software system Maintenance Connection;
• Filing of completed and closed work orders;
• Inventory management – Input new inventory into our computerized maintenance software system Maintenance Connection, oversee incoming inventory by matching orders with items received, labeling and putting inventory where it belongs, making sure inventory count is accurate and up to date, signing out inventory by issuing to work orders;
• Creates part numbers;
• Performs a physical inventory of all parts periodically and reconciles to Maintenance Connection;
• Tracks breakdown history on equipment;
• Create a month end reconcile at the end of each month in Excel;
• Maintains software including program updates;
• Enters and maintains Standard Operation Procedures in Maintenance Connection;
• Prepares various reports from Maintenance Connection;
• Tracks and reports predictive, preventative and breakdown time activities;
• Works with Maintenance Manager and Maintenance Staff to organize and carry out maintenance activities;
• Develops Standard Operating Procedures for Maintenance Connection and may train other employees;
• Oversees the day-to-day paperwork in the department and may be asked to perform similar tasks for other departments;
• May be required to perform other office related, inspections and general maintenance related tasks.
DESIRABLE KNOWLEDGE, ABILITIES, QUALIFICATIONS AND SKILLS:
• Knowledge in Microsoft Word and Excel and Outlook is essential.
• Possess a basic understanding of building/plant maintenance-inventory terminology and familiar with maintenance related inventory descriptions, i.e., knowledge of fasteners, pipe, valves and fittings.
• Must have a valid NYS Driver's License.
• Able to effectively communicate both verbally and in writing with other WNYE team members or outside vendors.
• Mathematical skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
• Detail oriented individual.
• Able to work independently with minimal supervision
